How to add or edit an email or text template.

How to Add the Dealership's Templates:

You must have Admin access to add email or text templates

  • Click on your name in the upper right corner

  • Click on Settings

  • Click on dealership name

  • Click on Templates

  • Click on the green "Add Template" button

  • Check the box for the type of message you want to create (email or text)

Choose a Template Name: Pick something your users will be able to remember and find easily.

Emails:

  • Email Subject: Add a subject here so that each time this template is chosen, it automatically populates the subject line.

  • Available Data Tags: Feel free to copy and paste a data tag into the body of the template. The tags will then pull that information right off the Up Sheet for you.

    • For example, you might have data tags for customer names, interested vehicle, appointment times, etc.

  • Email Editor: Utilize editor to really customize your message:

    • Hyperlinks: Insert URLs to direct recipients to specific web pages.

    • Pictures: Add images or logos into your email template.

    • Unique Fonts: Customize the text style, size, and color to match your branding or to emphasize key points.

Text templates allow you to create and save custom messages that can be sent directly to your customers’ phone numbers. Follow the tips below to craft effective, engaging templates that will resonate with your audience.

Best Practices for Text Templates

  • Keep it Short and to the Point
    Aim for a concise message that delivers key information quickly. Customers are more likely to read and respond to brief, straightforward texts.

  • Use Personalization
    Add a personal touch by using text data tags (e.g., customer name, appointment time, or vehicle information). Personalized messages help establish a stronger connection with your customers.

  • Focus on Clarity
    Avoid using complex language or unnecessary details. The simpler and more direct your message, the better.

  • Use Actionable Language
    Encourage customers to reply, confirm an appointment, or reach out with questions, using clear calls to action.

Creating effective text templates will help you communicate more efficiently while maintaining a professional and personalized approach.

How to Edit a Template

Select the Template:

  • Locate the template you'd like to modify. To start editing, click the Edit button next to that template.

Customize the Content:

  • Once in edit mode, you can modify the text as needed. You can add new information, adjust existing content, or delete any parts of the template that you no longer want.


Save Your Changes:

  • After making the desired updates, click Save Changes to apply them to the template.

Your template is now updated with your customizations. Check out our Text Template Library to quickly add some template to your account!

You can tell which templates have email and text version or just email or just text by the icons displayed next to the template names.

Note: If there is a template for both email and text, it will only send one or the other. It will try for a text first and if there is no texting line, an email will be sent.
