Adjusting Up Sheet Status
Changing Up Sheets to the appropriate temperatures.
This help article provides a step-by-step guide on how to manage and update Up Sheets within AutoRaptor. You'll learn how to change the temperature settings for leads, mark Up Sheets as "Delivered", and handle situations where a lead may need to be marked as "Lost." Changing the Temperature of an Up Sheet

When a new Up Sheet is created, or an E Lead is received, it defaults to an "Active" status with a temperature setting of "Hot."

You can easily adjust the temperature or status by clicking on the appropriate button within the up sheet. The available temperature options under "Active" are Hot, Warm, and Cold.

Additionally, the system automatically adjusts the temperature of leads based on how long they've been in the system and their responsiveness. Leads that have been in the system longer or show less engagement may be marked as Warm or Cold automatically, helping you prioritize your follow-ups.
Marking an Up Sheet as Delivered/Sold

Before delivering an Up Sheet, ensure that a vehicle has been added. You can add multiple vehicles by clicking "Add Vehicle" and typing in the search box. The search results will update in real-time.

If the desired vehicle is in inventory: Type keywords until the vehicle is found, then click "Add" to include it in the up sheet.

If the desired vehicle is not in inventory: The term "custom" will appear on the left instead of a stock number. Use the "build" feature to create a custom vehicle, which is helpful for describing the type of vehicle the customer wants, even if it’s not currently in stock.
When the customer leaves with their purchased car, the deal is considered "Delivered."

Use the "Status" drop-down menu, click "Delivered." If the customer has left a deposit, or there are other pending tasks (like vehicle preparation), move the up sheet to the "Sold" status. If there is no pending tasks, go ahead and mark the Up Sheet as Delivered. It is not needed to add a Sold date to mark an Up Sheet Delivered.

A pop-up will appear allowing you to edit the delivery dates if necessary. Once done, click "Confirm this Delivery."

After confirming, check your task section for new tasks. These tasks will help you stay in touch with delivered customers, giving you the opportunity for repeat sales and referral business.
Moving an Up Sheet to Lost

If your lead isn’t progressing, you may need to mark the up sheet as "Lost."

This could be due to reasons such as financing issues or the lack of a suitable vehicle in your inventory.

Organizing your lost customers by reason allows you to revisit them later, which can be useful when new leads are scarce! Utilize our Marketing Email and Targeted Texts feature to drum up old business.

Go to the customer's up sheet and click on the "Status" drop-down menu.

Another pop-up will appear; click "OK" and then select the reason for marking it as "Lost."


Here are your Lost reason options:
Inventory - Didn't have the right vehicle.
Price - Best price wasn't good enough.
Trade - Customer wanted more in trade.
Financing - Couldn't find a way to finance the customer.
No response - The customer is no longer responding.
Bad contact information - Contact provided incorrect information.
Number not in service - Disconnected notification when calling number.
No such person at this number - Contact provided incorrect phone number.
Did not apply - Customer did not apply.
