Call Recording & Transcriptions

AutoRaptor automatically records your calls with customers and turns each call into a searchable transcription. This means you’ll always have a clear record of what was said — making follow-up easier and improving your team’s visibility.

Why it’s helpful

  • Keeps accurate records of customer conversations — no more guessing what was said.

  • Makes follow-up tasks better informed — you can refer back to the exact conversation.

  • Helps coaching and performance review — managers can review calls and transcriptions.

  • All recordings & transcripts link directly to the lead’s record in AutoRaptor for ease of access.


How to set it up (Account owner only)

  1. In AutoRaptor, go to Settings.

  2. Enable Call Recording & Transcription (toggle the feature on).

  3. Save your settings.

  4. The next time a call is made or received on one of those numbers, AutoRaptor will:

    • Automatically record the call.

    • Generate a transcription and attach it to the lead’s record.

  5. You can review the recording and transcription by opening the lead’s profile and clicking the “Calls & Transcripts” section.


Best Practices

  • Notify your team that calls are recorded (as required by law in many jurisdictions).

  • Use the transcription to add notes or tasks right after the call — helps streamline your follow-up.

  • Maintain good audio quality (quiet environment, clear mic) so transcription accuracy is better.

  • Regularly review older calls for coaching opportunities or performance improvement.


Troubleshooting

  • No recording found: Check that call recording is turned on and the number used is in the list of enabled lines.

  • Transcription missing or incomplete: Poor audio quality can cause problems. Try test calling from that number in a quiet place.

  • Recording not linked to correct lead: Ensure the call was made/received through the number connected to the lead’s record. If not, manual linking may be required.

  • Cannot access the recording or transcription: Check user permissions—your role might not have access to call logs/transcripts.
