Customize Upsheets to Capture Your Data

Creating Custom Fields in AutoRaptor

Objective

This SOP outlines the steps to create and manage custom fields in AutoRaptor for enhanced data tracking on upsheets.

Key Steps

 

1. Access Custom Fields Tab 0:12

  • Navigate to your admin or owner settings.

  • Locate and click on the 'Custom Fields' tab.

 

2. Add a New Custom Field 0:30

  • Click to add a new custom field.

  • Choose the type of field you want to create:

    • Text – Best for open-ended answers. 
      Example: Customer’s insurance company or referral source.

    • Number – For values that should always be digits.
      Example: Customer’s credit score, number of vehicles in their household.

    • Boolean (Yes/No) – Quick checkmark field.
      Example: “Approved for financing?” Yes or No.

      Example: “In the Show Room?” Yes or No.

    • Date/Time – For tracking dates.
      Example: Warranty expiration date, date of last service visit.

    • Select List – Dropdown menu of set choices.
      Example: Lead source options like Walk-In, Website, or Phone Call.

       

       

 

3. Set Field Accessibility 0:41

  • Determine which account roles can access this field.

  • Decide if the field should be available to all users or specific roles.

 

4. Enable Conditional Display 1:12

  • Set conditions for when the custom field should be displayed:

    • For example, display when 'up sheet status' equals 'sold'.

  • You can also set conditions based on 'up sheet temperature'.

 

5. Create the Custom Field 1:24

  • After setting the desired options, proceed to create the custom field.

 

6. Edit the Custom Field on Up sheet 1:56

  • Go to the up sheet to see the newly created custom field.

  • You can edit the field directly from the up sheet.

 

7. Ensure Data Privacy 2:13

  • Optionally, enforce data privacy to ensure that the information is captured before the up sheet is sold.

8. Search for your Custom Fields

  • Once you apply custom fields, go to to the up sheet's tab and filter by any field you created.

  • Ensure that the custom fields are relevant to your data tracking needs.

  • Be cautious when setting accessibility to avoid unauthorized access to sensitive information.

Tips for Efficiency

  • Regularly review and update custom fields to keep them relevant.
