 This feature helps prevent the assistant from using outdated information while still maintaining continuity in conversations, improving both customer experience and team efficiency.

The Notes History Window is a setting that allows you to control how much historical context your AI Sales Assistant references when responding to customers. By managing the amount of past notes the AI can access, you ensure responses remain accurate, relevant, and focused on the most recent interactions.

How to Adjust the Notes History Window

Follow these steps to configure the Notes History Window in your AutoRaptor account:

  1. Log in with a user account that has Admin permissions.

  2. Navigate to AI Sales Assistant in your settings.

  3. Select Shared Settings.

  4. Locate Notes History Window and set the desired number of days the AI should reference.

Example: Setting the Notes History Window to 30 days will allow the AI to reference only notes from the past month when generating responses.

  • Set a Reasonable Window – Choose a timeframe that balances context and recency (e.g., 14–30 days for most dealerships).

  • Review Periodically – Adjust based on your team’s workflow and lead follow-up cadence.
