Setting Up Your AI Sales Assistant

Setting up AISA properly ensures it represents your dealership professionally and effectively. This guide covers all configuration options in your admin panel.

AI Knowledge Base Configuration

In order to setup your AI knowledge base, you will want to access your AI Sales Assistant backend settings. To do so, follow these steps:
1. Click on the drop down next to your name
2. Click on settings, then click on the dealership name
3. Navigate to "AI Sales Assistant" on the top right of the page.


There are 3 tabs of settings for AISA (AI Sales Assistant), we will start with the shared settings.

Business Information

Dealership Hours of Operation: These will pull through from the "general tab" in your back end settings. Ensure to set these up so that the AI knows your hours of operation.
Current Promotions: You can include any current promotions in here that you would like the AI to have access to. 
Finance Application URL: Link to your online Finance Application
Trade-in Appraisal URL: Link to your online Trade-In Appraisal forms 
Available Services: List out the services that your dealership offers to ensure that the AI does not make assumptions on what you offer.

Dealership Goals

In the "Dealership Goals" text box, enter what you want AISA to achieve:

Examples:
- Convert qualified leads into appointments.
- Build trust with friendly, professional responses.

This guides how AISA prioritizes conversations. 
The information entered into the Dealership Goals will be prioritized by AISA over everything else!

Business Rules

The "Business Rules" section contains your mandatory policies:

Examples:
- No vehicle holds without deposit
- No outside inspections
- All prices plus HST and licensing

These rules override all other settings, except Dealership Goals - AISA will always follow them.

Behavioral Instructions

Tell AISA how to communicate:

Examples:
- Be warm and friendly but professional
- Use the customer's first name
- Keep messages short and focused

You can also add specific instructions for AISA in here but ensure that the prompts are not conflicting with other rules in Dealership Goals and/or Business Rules

Business Information

Add context about your dealership:

Examples:
- Family-owned dealership since 1985
- Award-winning service department
- Specialize in first-time buyers
- Dealership location *NB*

A great place to add information about your dealership that AISA would otherwise not have. 

Creating Response Templates

In the Response Scripts section, create templates for common situations:

Examples:
Price Question:
"I'd be happy to get you our best price! When could you come in to see it?"

Finance Concern:
"We have flexible financing options for all situations. Let me get you pre-approved!"

Trade-In:
"We'd love to evaluate your trade! You can get an instant estimate using our tool."

You can add in specific response scripts to commonly asked questions. As said before, ensure that these do not conflict with other rules that have been set. 

Additional Context

Use this section for any special information:

Examples:
- Certified service center on-site
- Free lifetime oil changes
- We speak Spanish and Mandarin
- Military discount available


Best Practices for Setup

Start Simple - Configure basics first, add complexity later
Test Everything - Send test leads through before going live
Write Naturally - Make messages sound human
Be Specific - Clear instructions work better
Update Regularly - Keep promotions and information current


Make sure to "Saved Shared Configuration" when you have made changes!
